About the Job

The Medical Coordinator is responsible for all aspects pertaining to the organisation of medical activities for internal and external stakeholders and ensures that all processes are performed in compliance with local regulations and internal SOPs. Scope of support is intended for the Italy-Greece cluster.

KEY RESPONSIBILITIES:

The Medical Coordinator is responsible for all aspects pertaining to the organisation of medical activities for internal and external stakeholders and ensures that all processes are performed in compliance with local regulations and internal SOPs. Scope of support is intended for the Italy-Greece cluster.

The work is complex and non routine in nature, requiring independent decision making and interpretation of significant policies and processes and situations.

  • Regularly interacts with internal and external clients to coordinate accomplishment of Italy and Greece medical affairs business needs
  • Handles details of significant matters of a confidential and critical nature
  • Independently composes internal and external communications and distributes on behalf of managers
  • Coordinates all administrative and logistical aspects pertaining to medical affairs projects and activities
  • Liaise with regulatory affairs to ensure timely submission of accurate documentation for events that need AIFA approval
  • Writes minutes of weekly update meetings and coordinates follow up of action item
  • Maintains records of materials and information transferred out of and into the Vertex Italian division and ensures storage in appropriate systems
  • Ensures all activities and processes are performed compliance with applicable legislation and guidelines pertaining to contracts, privacy, and reporting obligations
  • Performs other duties as assigned

EDUCATION:

  • Bachelor degree (or equivalent degree) and/or relevant administrative or event coordination work experience

SKILLS & EXPERIENCE:

  • Fluent spoken and written English mandatory
  • Demonstrates excellent communication, verbal and written, and interpersonal skills
  • Demonstrates advanced proficiency in Microsoft Office Suite
  • Displays ability to independently interpret policies and solve non-routine, complex issues
  • Possesses an understanding of pharmaceutical environment: administrative or event management
  • Proven ability to successfully handle multiple, high urgency, requests in a reliable manner and exercises sound, independent judgment to regularly handle new and complex situations
  • Displays exemplary organizational skills to maintain order and stability throughout function
