Job Summary
  • Provides clinical secretarial office support.
Minimum Qualifications
  • Education/Training
    • High school graduation or equivalent; business courses or administrative/secretarial training preferred; knowledge of medical terminology.
  • Experience
    • 1 year clerical/office experience.
  • License/Certification/Registration
    • No special certification, registration or license required.
  • Knowledge, Skills & Abilities
    • Ability to type 40 words per minute. Basic computer skills. Excellent verbal and written communication skills.
Primary Duties and Responsibilities
  • Answers the telephone, screens calls, and relays information within scope of authority. Greets visitors, patients, and family members to the office and provides information as required.
  • Assists in the care and maintenance of departmental equipment and supplies. Maintains inventory of office supplies. Reports unit equipment that is malfunctioning or defective to appropriate personnel.
  • Contributes to the achievement of established department goals and objectives and adheres to department policies, procedures, quality standards, and safety standards. Complies with governmental and accreditation regulations. Assists in the orientation of new personnel per unit/hospital/facility policy.
  • Generates or completes patient test requisitions and assigns appropriate ICD9 codes. Generates various types of correspondence for patients.
  • Maintains department records and files. Reviews sorts and files a variety of material according to established procedures. Establishes filing systems as needed.
  • Maintains personnel/payroll records and performs timekeeping functions for the department.
  • May assist with the transport of patients, specimens, equipment and supplies as appropriate. Chaperones during patient examinations as needed.
  • May be responsible for the billing for a hospital service, which includes facility and physician fees, in compliance with current policies: Verifies insurance information before appointment. Responsible for collecting and updating complete accurate patient demographic and financial information in compliance with unit policy. Reviews and processes claims. Initiates pre-authorization process and generates and batches encounter forms. Assists in obtaining appropriate authorizations for treatment and entering facility charges via SMS. Deposits payments. Responsible for collection of outstanding accounts.
  • May coordinate and organize work assignments within the department. May be responsible for scheduling of staff to ensure office or department coverage.
  • May coordinate the scheduling of patient services with other hospital departments or physicians. Schedules patient appointments following current protocol. Makes reminder appointment calls. Keeps logs and records as requested. Coordinates transportation arrangements when necessary.
  • Opens, review and distributes interoffice/external mail. Brings priority items to supervisor's/manager's attention.
  • Participates in meetings and on committees and represents the department and hospital in community outreach efforts as required.
  • Participates in multidisciplinary quality and service improvement teams.
  • Performs other duties as assigned.
  • Schedules meetings and conferences with hospital staff as necessary. Implements changes in schedules with concerned parties.
  • Sets up and maintains patient files and filing systems. Responsible for the timely distribution of patient reports to referring physicians and other departments. Compiles required statistics.
  • Transcribes and proofs correspondence, reports, charts, etc. Prepares special reports.
