Plans, organizes and coordinates various department activities and functions. Performs diversified administrative duties such as Pathology transcription, general typing, scheduling for lab management, record keeping, database administration etc. Maintains statistical data and distribution as required.

Minimum Qualifications

Education/Training

High school graduation or equivalent; Associates degree, business courses or administrative/secretarial training preferred.

Experience

3 years administrative/secretarial experience; 2 years experience in pathology transcription.

No special certification, registration or license required.

Knowledge, Skills & Abilities

Verbal and written communication skills. Working knowledge of Microsoft Office preferred.

Primary Duties and Responsibilities
-
Answers telephone, screens and routes calls, takes messages and provides assistance to callers. Resolves problems, issues, or directs callers to appropriate resources. Picks up, opens, sorts and distributes mail as appropriate. Receives deliveries. Prepares documents and slides for mailing.

Assists Laboratory Management (Medical Director, Pathologists, Supervisors, Administrative Director) with scheduling, supply ordering and typing (meeting minutes, quality assurance reports, procedures etc.).

Contributes to the achievement of established department goals and objectives and adheres to department policies, procedures, quality standards and safety standards. Complies with governmental and accreditation regulations.

Ensure that all requests for consultative work or legal cases is assembled and sent via established methods. Reviews bills with supervisor.

Ensures that Pathology reports are available to the pathologists in a timely manner. Enters additional information as required. Provides printed reports as required. Ensures that pathologists receive consultative reports promptly.

Ensures that reports are available to clinicians by providing good customer service and ensuring coverage of the Pathology office.

Investigates and resolves problems. Takes initiative to determine appropriate action and resolution of various day-to-day matters, issues and projects within scope of authority. Exercises independent judgment with respect to real and potential problems and brings such matters to the attention of appropriate party with recommended action, when appropriate.

Maintains statistical reports as required. Assists the Medical Director in compiling data and producing reports.

Manages the administrative function of the department. Plans, organizes and coordinates daily workload and special projects for the department.

May assist in the selection, training, orienting and assignment of department staff, especially transcription. May assist in the development of standards of performance. May assist in payroll checks and resolve payroll issues within the department.

Participates in meetings and on committees and represents the department and hospital in community outreach efforts as required.

Participates in multidisciplinary quality and service improvement teams.

Performs other duties as assigned.
