About this Position

We are looking for a proactive Executive Assistant & General Affairs professional to support senior leadership while managing office administration, facilities, vendor coordination, and employee services to ensure smooth business operations.

What you´ll do

 

  • Manage executive calendars, meetings, travel arrangements, and follow up on action items.
  • Screen and prioritize communications; prepare correspondence, presentations, reports, meeting minutes, and internal announcements.
  • Act as a liaison between executives and internal/external stakeholders while maintaining confidentiality.
  • Organize leadership meetings, town halls, management reviews, and support follow-up actions.
  • Manage filing systems, executive records, document approvals, expense claims, and budget tracking.
  • Oversee daily office operations, facilities, supplies, workplace services, and maintenance activities.
  • Manage relationships with landlords, building management, vendors, and service providers; handle contracts, quotations, purchase requests, invoices, and renewals.
  • Support onboarding, employee welfare programs, visitor management, company vehicles, and parking arrangements.
  • Organize company events, training sessions, employee engagement activities, conferences, and CSR initiatives.
  • Ensure compliance with health, safety, security, and workplace requirements.

What makes you a good fit

  • Bachelor’s degree in Business Administration, Management, Secretarial Studies, Communications, Human Resources, or a related field.
  • Minimum 3–5 years of experience in Executive Assistant, Office Administration, or General Affairs roles, with experience supporting senior executives preferred.
  • Experience in multinational companies and working with diverse stakeholders is an advantage.
  • Strong proficiency in Microsoft Office, calendar and travel management, vendor and contract administration, budget monitoring, and reporting.
  • Excellent organizational, communication, multitasking, problem-solving, and interpersonal skills, with a high level of professionalism, attention to detail, and confidentiality.
