Briefing Coordinator Senior
(Events & Trade Show Advisor Senior)
JOB SUMMARY:
Corporate Meeting and Event Planning. Plans, coordinates, manages, and executes the logistics of sales and marketing events such as client and prospect briefings/meetings, Client Loyalty meetings, client engagement events, client conferences, executive-level meetings, internal town hall meetings, team meetings and employee engagement events, etc. Post briefing/event debriefs and follow-up.
GENERAL DUTIES AND RESPONSIBILITIES:
The FIS Corporate Briefing team is a Global Marketing resource connected to the sales and account management process. Corporate briefings are defined as any client or prospect meetings, big or small, that reflect a consistent FIS experience and impression of our company in accordance with FIS brand standards. Corporate briefings are arranged for both on-site (FIS locations) and off-site (client/prospect locations) meetings.
An FIS representative - sales, strategic account manager or executive - hosts each corporate briefing. The host works with the Corporate Briefing team to determine the objectives, goals, requirements and content of the briefing. The Corporate Briefing team also partners with the host to secure the best presenters based on the desired objectives. The Corporate Briefing team is also the liaison for distributing the appropriate messages and documents to the presenting team, based on the host's requirements, to help ensure the logistics run smoothly.
Corporate briefings are unique and customized to meet each client's or prospect's objectives. Listed below are some of the aspects of a briefing that the Corporate Briefing team can assist with to help ensure successful execution:
In addition to corporate briefings, the Corporate Briefing team can also assist with the coordination of town halls, team events and other executive-level and/or senior manager requests.
EDUCATION REQUIREMENTS:
Bachelor's degree or the equivalent combination of education, training, or work experience.
GENERAL KNOWLEDGE, SKILLS AND ABILITIES:
Advanced professional role. Highly-skilled with extensive proficiency and expertise. Work under minimal supervision on complex projects and may assist less experienced peers. Works on meetings/events/projects/issues of medium to high complexity that require demonstrated knowledge across multiple business units, executive-level and marketing events. Coaches and mentors staff. Works well under pressure and in high stress situations with professionalism and expertise. Works well with minimal supervision on complex meetings, events, and projects. Wide latitude for independent judgment. Typically requires seven or more years of experience.

- Coordinate executive participation with the executive assistants
- Coordinate presenter resources (call for resources)
- Manage critical dates and pre-briefing prep calls
- Distribute documents and communications to the presenting team regarding the host's briefing goals, requirements and objectives
- Define environmental and technical requirements at off-site briefings
- Manage marketing materials (i.e., presentations, agenda, promotional items or special gifts)
- Assist with ground transportation for guests, make travel and hotel recommendations, and work through the FIS procedures for using the corporate jet when appropriate
- Plan entertainment events surrounding the briefing as requested
- Manage on-site logistics for briefings held at the FIS Relationship Centers in Milwaukee and Orlando and other FIS campuses as requested
- Coordinate and manage facility tours at the six FIS strategic sites

- Knowledge of project management methods and techniques to ensure the coordination of people (internal clients and external vendors) and processes to achieve desired outcomes.
- General knowledge of FIS graphical templates supporting company brand identity, consistency, and production of materials.
- Excellent verbal and written communication skills to technical and non-technical audiences of various levels in the organization (e.g. executive, management, individual contributors).
- Proficiency in problem solving and time management skills managing multiple deadlines.
- Proficiency to operate independently.
- Builds and maintains productive working relationships throughout the FIS enterprise and with outside vendors.
- Coordinates and manages project resources, assigned people and processes to achieve desired outcomes.
