Overview


Position Summary: Under the direction of the Rehabilitation Director and therapy staff, assists the therapists and therapist assistants in a non-clinical capacity in regards to the productive operation of a therapy department. The Rehabilitation Secretary must demonstrate competency in skills and techniques, as taught by the Rehabilitation Department necessary to assist operations and therapy staff in their day to day responsibilities.

  • Maintains Daily, Weekly and Monthly computerized reports. Must be proficient in Rehab Optima, Microsoft Word, Microsoft Excel, payroll systems, and able to learn new software programs with ease ie. Wellsky, Parachute and M-System
  • Responds well to instructions and guidance, finds solutions to work related problems, and completes assignments independently, with minimal supervision.
  • Attends and participates in required and mandatory in-service educational programs, on the job training programs, etc. as directed and/or scheduled.
  • Communicates and monitors assigned daily tasks to rehab staff as directed by DOR and ADOR
  • Complete, record and report audits and findings of Electronic Medical Records as assigned
  • Answer phone, fax, email/distribute rehab information to other disciplines as directed
  • Coping and filing of therapy documents
  • Monitoring therapy supply levels and equipment utilization
  • Fax/Email equipment orders for patients returning home. May be done via Parachute or other electronic methods
  • Monitoring and coordinating equipment maintenance
  • Maintain equipment and make minor repairs.
  • Assists with the cleaning and distribution of wheelchairs
  • Assists with set-up/clean-up of treatment areas per infection control policies and general cleanliness
  • Keeps work area neat and orderly.
  • Transports residents and patients to/from therapy treatment areas as needed while maintaining patient safety.
  • Performs other related duties as assigned

  • Effectively communicates with staff to accomplish goals and objectives.
  • Creates a work atmosphere that promotes cooperation, respect, flexibility and teamwork amongst peers and staff.

Safety and Sanitation:

  • Follow all established safety procedures and precautions when operating equipment.
  • Report equipment malfunctions or breakdowns to the rehab director as soon as possible.
  • Report all unsafe/hazardous conditions to the rehab director immediately.

Customer Service:

  • Maintains an adequate liaison with families, residents and patients.
  • Demonstrates awareness, respect and concern for internal customers (coworkers) and external customers (i.e. patients, residents, families, physicians, referral sources)

Residents' Rights:

  • Maintains CONFIDENTIALITY of all resident care information to assure resident rights are protected.
  • Assures that the resident's rights to fair and equitable treatment, self-determination, individuality, privacy, property and civil rights, including the right to wage complaints, are followed.

Attendance:

  • Observes rules, policies and regulations with regard to attendance,
  • punctuality, appearance and professional attitude as established by the facility.

Miscellaneous:

  • Conforms to the HIPAA Compliance Program and applicable facility policies for patient privacy.
  • Conforms to the facilitys policies and procedures.

Physical:

  • Must have the ability to follow instructions as to the plan of care for each resident assigned.
  • Must have good mental and physical health, sound judgment and high moral standards.
  • Must be able to verbally communicate with staff and residents; visually assess residents needs and problems; read and write.
  • Must have sincere desire to work with the aged and those with limited capacity for self care.
  • Must have the ability to deal with residents with compassion and patience.
  • Must demonstrate decision-making skills relative to resident care and safety.
  • Must be able to follow instructions from the Rehabilitation Department
  • Must be able to document clearly and concisely on required forms

Emotional:

  • Must have the willingness to work with severely physically, emotionally and cognitively compromised residents and patients.
  • Must be able to take direction from registered therapist and other team members to promote patient treatment and safety.
  • Must be willing to work in an environment with risk of personal injury, exposure to infectious waste/materials, infectious diseases, and odors.

Cognitive:

  • Must be alert and attentive to patients and work environment throughout day.

  • Must have effective verbal and written communication skills.

Sensory:

  • Must have visual, hearing and sensory skills adequate to preserve patient and personal safety.

Qualifications


Qualifications: The Rehabilitation Secretary must hold a high school diploma or the equivalent. Must have proficiency in computer literacy and electronic medical records. Strong organizational skills and clerical and clinical experience is preferred.
