We are looking for a part-time Administrative Assistant to support our Blood Donor Services Executive in Oakland, CA. This position will be working approximately 20 hours per week.
1: Maintain executive's calendar for meetings, appointments, travel, visits to field or operating units. Make travel arrangements and prepares agenda for meetings. May prepare for high level meetings for which the executive's office is responsible.
2: Prepare memos, reports or correspondence for executive's or own signature. Review correspondence for consistency with corporate policies and practices.
3: Perform various research and analytical tasks on behalf of the executive regarding operational issues and initiatives. May administer a particular project and compile results or findings from multiple departments reporting to the executive.
4: Review and screen calls for executive and ensure that appropriate follow up occurs.
5: Coordinate office activities and communications on behalf of the executive.
Education: Associate's Degree required.
Experience: Minimum 7 years of related experience or equivalent combination of education and related experience required.
Skills & Abilities: Ability to work with various executive levels and across functional teams.
Excellent verbal and written communication skills.
Proficient in personal computer use and Microsoft Office Suite. Proficient typing skills required. Knowledge of organizational policies and procedures that relate to operations within assigned organizational unit is preferred.
Ability to prepare and edit complex documents is preferred.
Strong and demonstrated attention to detail, accuracy, customer service and organizational skills required.
Ability to work on a team.
Travel: May require some travel.
* Combination of candidate's education and general experience satisfies requirements so long as the total years equate to description's minimum education and general experience years combined (Management experience cannot be substituted).

While performing the duties of this Job, the employee is regularly required to sit; use hands to handle or feel; and talk or hear. The employee is frequently required to reach with hands and arms. The employee is occasionally required to stand; walk and stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 15 pounds and occasionally lift and/or move up to 30 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. The work environment will consist of moderate noise (i.e. business office with computers, phones and printers, light traffic). The employee must have the ability to work in a small cubicle and have the ability to sit at a computer terminal for an extended period of time.
