Scheduler Position Description
Summary
The Home Healthcare Scheduler is responsible for coordinating patient care schedules for home health aides, nurses, and therapists across two offices. This role ensures that staffing needs are met efficiently while maintaininghigh standards of patient care. The Scheduler will also liaise with clients, families, and healthcare personnel to facilitate effective communication and service delivery.
Job Responsibilities
Schedule Coordination
Own master schedule for both locations
Monitor open shifts daily
Fill call-offs in real time
Track overtime
Watching for/reporting excessive OT and call-offs so it can be addressed
Maintain caregiver availability matrix
Regular weekend rotation
Manage EVV exception related to scheduling
AxisCare must be used to its full potential, including caregiver availability, staying up to date, and regular caregivers set for each client.
Communication
Serve as the primary point of contact for staff regarding scheduling inquiries.
Communicate effectively with clients and families to confirm appointments and address concerns.
Collaborate with healthcare providers to ensure continuity of care.
Answer phone calls
Greet visitors
Maintain confidentiality and adhere to HIPAA compliance standards.
Comply with company policies and maintain a clean office space.
Data Management
Maintain accurate records of staff schedules, patient assignments, and service requests.
Document within electronic health records to track and update all information.
Compliance and Quality Assurance
Ensure compliance with regulatory guidelines and agency policies.
Monitor service delivery to ensure quality standards are met
Report any issues to HR or DOO
Review for compliance errors.
Problem Solving
Manage EVV exceptions related to scheduling
Identify and resolve scheduling conflicts promptly
Anticipate staffing needs and proactively manage resources to meet patient care demands.
Marketing
Other duties as assigned by Director of Operations
Qualifications
Bachelor’s degree in healthcare administration, business, or related field preferred.
OR
2 years' experience in scheduling or administrative roles within a healthcare setting
Skills
Strong logistical skills
Strong organizational and time-management skills are important.
Excellent verbal and written communication abilities.
Proficiency in scheduling software and Microsoft Office Suite.
Ability to work effectively under pressure and manage multiple priorities.
Strong understanding of healthcare regulations and standards.
Excellent communication, organizational, and problem-solving skills.
Proficiency in electronic health record (EHR) systems and Microsoft Office Suite.
Ability to manage multiple priorities and work effectively in a dynamic environment.
Work Schedule
This position requires you to work eight hours a day five days a week in the office setting. Monday–Friday, 7:00 AM to 3:30 PM with a 30–minute lunch daily.
This position may require occasional travel between all office locations.
Standard office hours with potential for on-call responsibilities during evenings and weekends.
